Meeting Minutes – APPROVED
June 26, 2014, 5:30 p.m.
Meeting Called to Order
Pres. Sager called the meeting to order at 5:30 p.m.
Present: Pres. Suzanne Sager, Dir. Kraig Bartel, Dir. Janet Bowen, Dir. Earlean Marsh, Library Director Michele Kinnamon.
Grier Cundill, 34014 SE Moss Hill Rd., Estacada, spoke as a representative of Friends of the Estacada Public Library. Mr. Cundill wanted to share with the board a gift from Summer Celebration to the Library. A quilt featuring Summer Celebration t-shirt logos from over the years had been created and gifted to the library as a symbol of community partnership. He suggested that a label with text that explains the gift be hung beside it in the library. The board expressed its thanks and Dir. Bartel asked if the quilt could be framed with UV protective glass to prevent sun damage. Mr. Cundill said the plan had been to hang it from a custom dowel rod but that he would investigate the cost of other display options.
Review of minutes from the May 22, 2014 Meeting
Pres. Sager presented the minutes from the May meeting for review. Dir. Marsh moved to approve the minutes. Dir. Bowen seconded the motion. The motion passed unanimously.
Revenue is higher than expected in four areas: Miscellaneous Revenue, Room Rental Fees, Donations and Library Grant (state funds for the summer reading program).
There has been noticeably more activity in the library, yet the circulation statistics maintained the usual slight fluctuations. An increase in check-outs is expected due to the summer reading program.
Problems continue in the men’s restroom. Someone urinated on the walls, floor and hardware and staff was alerted to evidence of drug usage on a recent weekend. Dir. Kinnamon will consult with the Sandy Police Chief on ways to monitor the men’s room going forward that could include surveillance measures.
The NanaWall (glass door) in the Flora Room is in need of repair. Dir. Kinnamon contacted the repair entity in Seattle to schedule a repair. Photos were sent to the service company of problematic areas in the door structure. The company did not commit to a service date but requested more pictures in order to match the color of the door hardware. Dir. Bartel suggested contacting the door’s installer, which is likely local, to see if they can assist with any part of the repair.
There was none.
Pres. Sager led the meeting into Executive Session, pursuant to ORS 192.660(2)(h), governing Real Property Transactions.
After discussion, the meeting returned to Open Session. Dir. Marsh made a motion to continue to pursue the topic discussed in Executive Session. Dir. Bartel seconded the motion. The motion passed unanimously.
President and Trustee Comments
President Sager said it was good to have a supportive board. Dir. Bartel thanked Pres. Sager for composing the letter acknowledging the Estacada Area Literary Foundation which was published in the Estacada News.
The meeting was adjourned at 7:10 p.m.
